About the Publications feature

The Publications feature in Berkeley Web Builder allows you to manage and display academic work, such as journal articles, book chapters, and conference papers. A "Publication" content item includes dedicated fields for the document title, abstract, date, location, and citation.

This feature includes dedicated widgets for showcasing publications with or without search and filter options. Additionally, Publications content can be seamlessly integrated with People content. Figure 1, below, provides an example of a Custom page featuring Publications content.

Creating Publication content items

To create or edit Publication content items, navigate to the Manage Content page on the dashboard and filter by "Publication" to update the starter content. Alternatively, go to the Add Content page and select the "Add Publication" button.

Note: If you do not see Publications options on your dashboard, the feature may not be enabled. Check your Features page or contact your Site Manager to request access.

Publications fields

Publication content items utilize the full WYSIWYG editing toolbar and include the following fields:

  • Title: Enter the title of the publication.
  • Abstract: Enter the publication’s abstract (i.e., the outline or summary).
  • Publication type (optional): A category for grouping Publications items and enabling filters.
  • Publication date: The date of the publication.
  • Documentation location (for the full publication):
    • Local: file uploaded to this site: Upload an attachment (PDF, Word, etc.). Do not upload attachments with access restrictions; use the Remote URL option (below) instead.
    • Remote URL: Link to an externally hosted file by pasting the full URL into this field.
      • Add a brief note to the end of the abstract describing any access restrictions on the file (if applicable).
      • Do not add a link to your own site in this Remote URL field. If the document is hosted on your site, use the Local option described above.
  • Citation (optional): Enter the standard citation for this publication.

Integration with the People feature

If the People feature is enabled on your site, you can associate specific individuals with Publications content by adding "Person" items as the author. The Author field appears after the Publication Date field during the creation or editing process.

Notes about People integration:

  • Use exact spelling of the Display Name when adding a Person as the Author of a Publications item.
  • The Author field displays an Author link to the Person page on the Publications item and in Publications widgets.
  • The Author's Person page will contain a list of their publications with links to each publication.

Publication types

Publications can be grouped by "Publication types," which are then used to filter Publications widgets.

Manage these categories on the Categories page of the dashboard. Select the "Publication categories" link to add, edit, remove, or re-order terms (e.g., "Book chapter," "Journal article," "Monograph"). See Figures 4 and 5, below.

To use the dedicated Publications widgets, go to the Customize tab of your Custom page, click "Add widget," and select Publications (located in the "Features Content" section). Browse the available listings widgets, select a widget to view a preview, and click the "Add" button to use. See Figure 6, below.

Each Publications widget includes configuration options to set a title, designate the number of items shown, and filter by Publications category (see Figure 7, below). Depending on the widget style, you may also have options to enable a pager or choose different sorting and display options (e.g., sorting by date).

Licensed content

Many publishers provide online access to licensed content through institutional subscriptions (such as those held by UC Berkeley). While these licenses typically allow members to view, download, or print copies for personal use, they often include strict redistribution rules.

Important restrictions

  • No re-hosting: You may not download licensed content and upload it to your own website, even if your site has restricted access.
  • Print media: These restrictions also apply to print publications; do not post digital scans of printed articles to your site.
  • Link via Remote URL: To ensure compliance, use the "Remote URL" option to link directly to the content on the publisher's website instead of uploading a file.

Compliance

It is your responsibility to follow all license agreements and copyright terms. Violating these terms can have serious legal and financial consequences for the University.

For more details, see the Conditions of Use and Licensing Restrictions for Electronic Resources on the UC Berkeley Library website.
